Let’s define the most common terms you’ll encounter in this series so we share a clear, practical language for understanding AI in estimation. This primer is not technical. It is designed to help professionals—estimators, program managers, and analysts—interpret AI concepts without needing a background in computer science.

Generative AI

Generative AI refers to systems that produce original content—such as text, code, images, or models—based on learned patterns in content and data. These systems are powered by large language models (LLMs) or other machine learning architectures that synthesize outputs in response to user inputs. In ECAI, generative AI is applied to cost, schedule, and risk estimation by transforming natural language prompts into structured outputs like work breakdown structures, cost models, and proposal content. Outputs are traceable, source-backed, and aligned to validated estimation logic.

Agentic AI

Agentic AI describes a modular approach in which discrete, purpose-built AI agents perform specific tasks, either independently or in coordination with others. ECAI uses agentic AI to interpret user intent, automate background functions, and dynamically select the right agent—or set of agents—for the task at hand. These agents may handle WBS generation, prompt engineering, supplier benchmarking, or document ingestion. Importantly, human users remain in control of final decisions. This architecture improves scalability, precision, and explainability while dramatically improving speed.

Large Language Model (LLM)

A Large Language Model (LLM) is a type of artificial intelligence trained on massive amounts of text—books, articles, code, and documentation—to recognize patterns in human language. Rather than “understanding” meaning, it predicts the most probable next word or phrase based on statistical relationships in its training data. LLMs are the foundation of many generative AI systems, enabling them to produce text, code, or analysis in response to prompts. In ECAI, smaller, fine-tuned LLMs are deployed within secure environments, ensuring that estimation outputs remain explainable, controlled, and aligned with domain-specific knowledge rather than generic internet data.

Knowledge Base

A Knowledge Base is a structured repository of trusted information—such as validated cost data, historical projects, procurement records, and organizational standards—that an AI system can reference. Within ECAI, the knowledge base serves as the backbone of retrieval and reasoning. When a user submits a query, the system securely searches this repository for relevant material and incorporates it into the response. This ensures that outputs are always derived from verifiable, context-specific sources rather than unverified public information. A well-maintained knowledge base is what transforms an AI from a language tool into a decision-support system.

Tenant Isolation

Tenant Isolation is a security and architecture principle that separates each organization’s data, models, and processing environment from every other customer’s. In practical terms, it means each company has its own private, fenced-off instance of ECAI—complete with its own databases, logs, and encryption keys. No data, prompts, or results ever cross from one tenant to another. This structure ensures that proprietary or classified information remains under organizational control while benefiting from shared system updates and innovations.

Audit Chain

An Audit Chain is the comprehensive, time-stamped record of every significant event that occurs within ECAI—from data access and agent activation to user approvals and output generation. Each link in the chain documents who did what, when, and with which data. This continuous record enables organizations to reconstruct any result, demonstrate compliance, and verify that estimation logic adheres to approved methods. The audit chain transforms AI from an opaque process into a transparent, traceable system suitable for regulated or mission-critical environments.

Human-in-the-Loop (HITL)

Human-in-the-Loop (HITL) refers to the intentional design of workflows where people remain responsible for reviewing, validating, and approving AI outputs before they are accepted as final. In ECAI, human experts oversee every critical decision—cost baselines, risk assessments, or schedule forecasts—ensuring that AI augments, rather than replaces, professional judgment. This approach preserves accountability and provides an additional safeguard against data or reasoning errors, making HITL the bridge between automation and trust.

Hallucination

A Hallucination occurs when an AI system generates an output that is fluent and confident but factually incorrect or unsupported by data. It happens because models predict patterns rather than reason about truth. In estimation, a hallucination could appear as a cost figure, supplier name, or schedule assumption that seems plausible but cannot be traced to any verified source. ECAI mitigates hallucinations through retrieval-augmented generation (RAG), secure knowledge bases, and human oversight, ensuring that every output is grounded in evidence, not probability.

Retrieval-Augmented Generation (RAG)

Retrieval-Augmented Generation (RAG) combines generative AI with a real-time search and retrieval layer. In short, content and/or data that augments its training. Instead of relying solely on a model’s internal training, RAG retrieves relevant documents or data from a connected knowledge base—then uses those materials to shape and support its responses. In ECAI, Instant RAG enables instant, source-backed answers by securely pulling from evolving data without formalized retraining: verified knowledge, customer documents, historical projects, or procurement data, ensuring every output is verifiable and aligned with real-world inputs.

Automatic Prompt Engineering (APE)

Automatic Prompt Engineering (APE) is a method of interpreting and refining user inputs without requiring technical syntax or detailed instructions. APE rewrites vague or incomplete prompts behind the scenes, guiding the system toward accurate outputs. This allows users to work in plain language, improves adoption for non-technical roles, and reduces hallucinations by anchoring prompts to estimation logic and organizational knowledge.

Contextual Agent Activation (CAA)

Contextual Agent Activation (CAA) is a proprietary technology by Galorath.
